Use Advanced Search

You can use the Advanced Search to apply different filters to your search and get better results.

About this task

The advanced search feature allows you to use operators and wildcard characters to configure a very constrained search and speed location of the desired content.

To use Advanced Search:

Procedure

  1. In the Navigation bar, enter keywords, an ID, or filename to search for in the Search for field.
    You can also use operators in the Search for field. See Operators and wildcards for search.
  2. Optional: If you want to restrict your search for keywords in places such as titles or filenames, select the location of keywords from the Search in dropdown index list.

    The configuration of your deployment determines the available indexes. Ask your administrator if you need to search in indexes not in the list.

  3. Click Advanced Search Filter icon.
    The Advanced Search side panel opens with the keywords and selections you made.
  4. Optional: Expand and apply filters to narrow your search.
    You can apply any combination of the following filters:
    • Languages locates only localized objects in a specific language
      Note: The preselected, default language is most often en-us English, but you can choose another language and then select Save as Default.
    • Object Types locates only specific types of objects

      Your system administrator can change the listed order of objects can be changed to suit company preferences.

    • Context searches within the context map, branch, or collection, such as Products or Libraries, and you can save context settings as the default for future searches
    • Status locates objects with a specific status
    • Checked out by locates objects checked out by you, specific users, or by no one
    • Last checked in by locates objects last modified by a specific user
    • Last check in date locates objects modified before, after, or between specific dates
    • Assignments locates objects assigned to or assigned by specific users
  5. Click Search.
    The search criteria that you used are shown in chips at the top of the page and search results appear in the dynamic grid. You can scroll down to load more results, sort, or filter them.
  6. Optional: Use the dynamic grid to sort or filter the results.
    Important: If you use the dynamic grid to apply a filter or sort the results on the Search page, only the objects that have loaded are sorted and filtered.
  7. Optional: To save the search query, bookmark the page in your browser.
    Note: When you bookmark the page, it saves the search parameters you used. Each time you open the bookmark, the same search automatically runs and the results update. For example, if you save a search for objects modified in the last 7 days, the results show the objects modified in the previous 7 days, based on the day you opened the bookmark.
