Create an approval

You can create an approval for source content as well as translated content.

About this task

You can create an approval in IXIA CCMS Web from any Authoring map with an Approval status or from any language manifest at Translation:done. For users with translation content, see Reviewing and correcting translated content.

Note: Your deployment of CCMS Web might have a different name for the default Approval status.

To create an approval:

Procedure

  1. Locate the map you used for your reviews when you are ready to submit your content for final approval.
    You can begin from anywhere you can see the map, such as in Map Editor or your Favorites.
  2. Click More Options icon, and select New Approval.
    The New Approval dialog appears.
  3. Enter a title and click Next.
  4. Optional: To apply a ditaval to the conditions, take the following actions:
    1. Click Add Ditaval.
    2. Search for a ditaval.
    3. Click the option button for the related ditaval.
    4. Click OK.
    5. Click Next.
    The Assignments section opens. The default is to automatically assign you the topic, if your active role allows you to change the Approval status.

    You can click Edit icon to change the assignment or Trash icon to delete it.

  5. Click Add a Role.
  6. From the Role dropdown list, select a role.
    The role you choose determines the available users you can assign. For a user with multiple roles, you can only assign each role once.
  7. From the Users dropdown list, select users for the assignment role.
    Tip: You can type in a name to search for a user. If there are more than 250 users, some users might only appear in the list when you search for them.

    You can select as many users as you want with this role up to the maximum number of assignees allowed, which depends on your system configuration for the role.

    Note: Once created, no user can change who is assigned to approve. However, users with a role that lets them change the Approval status can cancel it.
  8. Optional: In the Comment field, add a comment for assigned users to see in the expanded row information of the object.
    Note: The added comment is also included in the assigned object's revision history.
  9. Optional: Either enter a date or click Calendar icon to pick one.
    The correct format for dates is yyyy/mm/dd, such as 2024/05/31 for May 31, 2024.
  10. Click Add.
    Note: The assignment rule for content with an Approval status requires all users to mark it as finished.
  11. Optional: Add additional roles using the steps above.
    You can only add a role once. You can select multiple users for the specified role.
  12. Click Next.
  13. Optional: To generate a PDF that reviewers can download, select Yes.
  14. Click Create.

What to do next

Go to your My Outputs page to see the progress and open the object with an Approval status. If you generated a PDF, you can download it from the My Outputs page. Reviewers can download the PDF from the table of contents.
Note: If there are errors, look at the error messages to troubleshoot the problem.
