Search and replace text in all topics in a map

Use the map-wide Search and Replace feature to find a text string in the related object content and then replace one, some, or all instances with an alternate text string that occur in the objects within that map.

Before you begin

Maps and topics must have a status that allows text edits. You must check out the maps and its related objects for the replace operation to succeed.

Note: You can bulk check out the objects before beginning or allow the CCMS Web to check out the objects for you during the process. For most users, this means the Authoring:work cycle or its equivalent. Objects that are not in a status that allows text edits are skipped.

About this task

The Search and Replace feature currently applies only to text edits for users that have the access rights to this feature.

The Search and Replace results page, by default, is limited to 100 entries. Your configuration can vary, with any value between 100 and 1000 possible entries.

Important: If you search for a text string that contains a tab, the replacement text string does not include a tab, since there is not an option for adding a tab character in the search field.

To use the map-wide Search and Replace feature:

Procedure

  1. Check out a map, click , and then select Search and Replace.

  2. Enter text in the Search for field.
  3. Choose any or all of the identified options. See Examples of map-wide Search and Replace conditions.
    • Case sensitive – Differentiates between capital and lower case letters in the text string, such as garden, but not Garden
    • Whole word – Only finds instances of whole words that match the text string, such as garden, but not gardening
    • Ignore whitespace – Only finds instances of the text string, but ignores any white space, such as a simple space, a leading or trailing space, a tab, or carriage return for a new line
  4. Click Search.

  5. On the Search and Replace grid, locate any text strings in the To Replace tab results, and then take either of the available, undimmed actions:
    • To replace the highlighted text string instance, click .
    • To skip the instance, click .
  6. If you chose replacement, take the following actions:
    1. Enter replacement text in the Replace with field.
    2. Select the appropriate replacement occurrence.
      • Current — Replace only the instance currently selected
      • In object — Replace all instances within the selected object, such as a topic
      • In all objects — Replace all instances within the map
    3. Click Replace.
    The instance is replaced and moves to the Processed tab.
  7. Optional: Repeat for any other instances on the grid until all matches are either on the Skipped tab or the Processed tab.
  8. For further searches, either click Modify or repeat the process from the beginning.
