General access rights

General access rights control access to a variety of basic actions, so most users have access to them. These access rights are available for both Standard and DRM deployments. Some apply only to CCMS Desktop or only to CCMS Web, or both, as noted.

AddToDictionaryJob

Allows users to add words to Spellchecker dictionaries, found in the dicts folder of the system configuration. Users without this access right can still use the Spellchecker, but they cannot add any new words to the dictionaries.

CCMS Desktop: Right-click > Spellcheck > Add to Dictionary

ApplyLabels

Allows users to add existing labels from a master list to objects and to remove labels from objects. To allow users to create and edit new labels, give them the EditLabels access right.

CCMS Desktop: Right-click > Apply Labels

Change Status

Allows users to move an object from one workflow status to another.

CCMS Desktop: Right-click > Change Status

CCMS Web: Move

Clone

Allows users to clone objects. A clone is an exact copy of the object. In DRM environments, the clone is created in the same branches as the original.

CreateMap

Allows users to create maps

CreateResource

Allows users to create resource objects

CreateTopic

Allows users to create topics

CCMS Desktop: or IXIASOFT CCMS menu > Create New Topic

CCMS Web: checked-out map > Add Topic icon

CreateImage

Allows users to create images and to import images

CCMS Desktop: or IXIASOFT CCMS menu > Create New Image

CCMS Web: Hamburger menu > New Object > New Image

Delete

Allows users to delete objects, moving them to the Deleted cycle

EditLabels

Allows users to add, edit, or delete labels in the master list. This option provides GUI access to the list of labels in the userproperties.xml configuration file. To allow users only to add and remove existing labels on objects, give them the ApplyLabels access right.

CCMS Desktop: IXIASOFT CCMS menu > Label Configuration.

Edit Variables

Allows users to add key definitions defined in the keydefnames.xml configuration file to a locked map in CCMS Desktop.

CCMS Desktop: In a locked map in DITA Map view > right-click > Edit Variables.

Insert Variables

Allows users using Oxygen XML Author or Oxygen XML Editor to insert references to keys that are defined in the context map.

CCMS Desktop: In a locked topic Right-click > IXIASOFT CCMS > Insert variable from map / Insert external link from map

ImportImage

CCMS Desktop: Allows users to create a new image object.

It does not affect the user's ability to import an image using File > Import. That option is available unless it is hidden using the eclipseui.xml configuration file.

ImportTopic

This access right currently has no effect.

The option to import a topic using File > Import is available unless it is hidden using the eclipseui.xml configuration file.

CCMS Desktop: File menu > Import Topic

Lock

Allows users to lock and edit objects. Users without this access right can open and view objects, but cannot make any updates or modifications.

There is no Edit access right. The Lock access right serves that purpose.

CCMS Web: Edit

ManageConfigurations

Allows users to view the Configurations sub-menu in the Administration section. Users without this access right cannot view the sub-menu or any of its options.

Note: To view the Ignore Words List option, it is also necessary to have the AddtoDictionaryJob access right.

ManageSystem

Allows users to view the System sub-menu in the Administration section. Users without this access right cannot view the sub-menu or any of its options.

RevertTo

Allows users to revert an object to one of its previous revisions. Users without this access right cannot revert an object to a previous revision, but they can view previous revisions using Revision History.

SearchandReplace

Allows users to search for a text string within a map and its dependencies and replace with another text string.

Show Preview

Allows users to view a very basic, unstyled HTML output preview of objects

Snapshot

Allows users to create a snapshot of a map

Assignment access rights

Assignment access rights control who can assign objects, create Worklists, and work on objects they are not assigned to. These access rights are available for both Standard and DRM deployments. Some are available only for CCMS Desktop or only for CCMS Web, as noted.

Assign to

Allows users to assign objects to themselves or other users.

CCMS Web: Move

EditUnassignedObjects

Allows users to edit objects they are not assigned to.

CCMS Web: Edit

ManageWorklists

Allows a user to create Worklists and to add or remove objects and members.

CCMS Web: Worklists side panel > New Worklist

Additional general access rights you can add

These access rights do not have a corresponding method by default, which means they are available to all roles and groups. If you need to restrict access to these features, you can create a method for them and configure it as needed.

Compare

Allows users to compare two revisions of an object with each other in the Revision History view

CCMS Desktop: Revision History > Compare

Copy ID

Allows users to copy the ID of an object

CCMS Desktop: Right-click > Copy > Copy ID

Copy Title

Allows users to copy the title of an object

CCMS Desktop: Right-click > Copy > Copy Title

Copy fullpath

Allows users to copy the repository filepath of an object. For example, /content/authoring/uwd1628265108858.ditamap

Copy reference

Allows users to copy an object's filename

Open

Allows users to open and view objects. To enable users to edit the objects, give them appropriate access to the Lock access right.

Open with

Allows users to open and view objects in a selected editor.

Note: The editor must be associated with the object type using Eclipse's File Association preferences, which are completely separate from the operating system's file associations.

Properties

Allows users to view the File Properties dialog for an object

Note: This access right does not affect the availability of the Properties view, which displays completely different information about the object.

Redline Compare

Allows users to compare a map in the Authoring cycle with a published version or snapshot of the map using the redline compare function

Note: This produces a PDF showing the differences between the two maps.

Remove as Droppoint

Allows users to remove drop points from a map

Note: Drop points only persist while a map is open in DITA Map view.

Restore

Allows users to recover deleted objects, moving them from the Deleted cycle to the Authoring cycle.

Revision History

Allows users to view the Revision History of an object

Set As Droppoint

Allows users to define drop points in a map, where users can insert topics and other maps

Spellcheck

Allows users to check the spelling in a map and its dependencies.

Note: By default spell checking is available for all users in CCMS Web. You can add and configure an access right to constrain access in CCMS Web.

ViewDependencies

Allows users to view the dependencies of an object.
